As-built delivery is a mandatory part of any construction contract. It represents the verified, assured record of what has been designed, coordinated and physically delivered on site. This is not simply an end of project requirement, it is a structured, valuable process that supports clarity, certainty and accountability across every phase of design and construction, and will be used as a resource for decades, if not centuries after. Not undertaking this correctly can have serious consequences, both legally and financially.

At early design stage, setting clear expectations for how as-built information will be captured, collated and delivered plays a fundamental role in the success of the project. This can not be an afterthought – as the site team will move onto the next big project, leaving what is considered a mundane paperwork task behind for others to complete. Those following up with this outstanding burden will complete this based on assumption, consolidation of poor quality records, or sometimes….guesswork, with no ability to ask questions of those that were part of the construction. 

The strategic approach to how updates to design deliverables will take place will govern how you collate construction records. For instance, if offshoring as-built updates is a consideration, the changes need to essentially be a tracing exercise for the CAD Team as they have zero project, or relationship knowledge. If an in house consultant is used, who can build relationships and understand the project team, then processes for retrieving construction records can form part of the as-built exercise. If the strategy hasn’t been considered until the as-built task has started, expect to see lengthy delays, measured in years, with some painful tasks to build up a missing construction record, often collecting Non-conformances along the way. 

By embedding requirements for as-built record collection prior to construction commencement, we create a shared understanding between all parties of what information will be needed after they have moved on from the project, and how it will be used by the next stakeholder to complete their tasks. From a Construction Contractors perspective, collecting and maintaining accurate as-built records at the point of construction creates consistency, accuracy and certainty – better quality records – as the activities are fresh in mind and easily recalled. Progressive update of as-built models by embedding a specialist team to focus on constant coordination and update makes clash detection and successive construction activity more likely to go to plan. It provides continuous reassurance that the Digital model is as accurate as the physical. It can – and likely will – be recalled for legal queries throughout the operational life of the asset, or during defect and liability periods. From the Construction Contractors perspective, good quality as-builts, supported by accurate easily auditable records, will result in greater predictability and ultimately a better profit margin. 

It will allow contractors to demonstrate value through precision and professionalism. When a project is handed over with clear, well organised and validated as-built records, it reflects the quality of the entire delivery process. It shows that the team has planned, executed and documented the work with care and discipline, qualities that set the standard for future opportunities.
